End-to-end eDiscovery.

If you need to respond to legal discovery, subject access and other regulatory data requests, managing the eDiscovery process across large and varied repositories and many different file types is a big headache – especially when there’s an imminent court case or regulatory deadlines.

Changes in technology and working practices add to the challenge, requiring you to work with data in the cloud, on mobile devices, across social media platforms and in legacy systems and proprietary archives.

We can help you streamline the timelines and costs involved in the end-to-end eDiscovery process (EDRM), including:

  • Building a strong access security framework
  • Collecting relevant data sets
  • Defining defensible processes
  • Performing early case assessment
  • Creating audit logs
  • Handling eDiscovery across multiple workloads and locations
  • Reviewing Microsoft & third-party forensic and analytics solutions

Data collection

One of the most overlooked, yet vital areas in the eDiscovery process is the initial collection of electronically stored information (ESI).  Failure to identify and collect all data sets relevant to a court case can lead to under-production and increased risk resulting in an  indefensible review coupled with potential court sanctions. Conversely over-collection of data can lead to unacceptable review timelines and increased costs.  Based on analysis of your data sources we can provide the necessary expertise and  technologies to assist with:

In-place searching or early case assessment to quickly surface relevant ESI from active, cloud or offline data sources

Targeted collection of priority ESI across individual devices, networks, and enterprise and cloud sources, including legacy systems – e.g. email archives

The defensible collection of ESI by maintaining the chain of custody and audit trail

Preservation and collection of metadata relevant to the eDiscovery process

The recovery of deleted items, de-duplication and culling of non-relevant items – e.g. system files, certain MIME types

Conversion of data sources for analysis – e.g. audio to searchable text

Review and Analysis

The review of ESI to identify relevant or privileged items is typically the most resource-intensive and expensive phase of the eDiscovery process.

We offer clients invaluable insight into the various platforms available to expedite this stage, and can assist in the selection and implementation of a best-fit solution including those from third-parties and from Microsoft.

As a vendor-independent service provider, Cloud Essentials has worked with almost all the major search and eDiscovery solutions, including:

Microsoft Analysis of non-Office 365 data with Advanced eDiscovery

While the amount of data being generated and stored in Office 365 is growing at an exponential rate, many organisations still have data in legacy file shares and archives.  By moving this data into Azure you can analyse it using Office 365 Advanced eDiscovery.

HubStor eDiscovery in Azure

Ideal for fast, no fuss search, we can quickly onboard all or selected data sources into HubStor for Azure and make it available to privileged users for eDiscovery.  This zero-lock-in, pay-as-you-go service enables you to index only what needs to be searched — keeping costs low and delivering results faster.

NUIX Web Review and Analytics

Provides you with the ability to search, batch, review and code items via a web browser from any location. NUIX Web Review and Analytics uses built-in text analytics such as clustering, topic modelling, text summarisation, de-duplication (and near-duplicates) and relationship networks to minimise review items and improve the accuracy of your review.

iManage Insight

Lets you leverage artificial intelligence (AI) to understand the meaning of content in a variety of different formats and search for related concepts and custodian relationships. Insight’s AI can significantly reduce the time involved in identifying and analysing relevant data, especially where large volumes of ESI are involved.

We are able to support you in the oversight of the review process through the use of analytics and relevant dashboards to gain insight on the pace of review, coding of items and quality control results.

Once all ESI has been reviewed the next stage in the eDiscovery process is the production of relevant items for review by third parties or law firms. Depending on the platform used we are able to produce the required items in the multiple formats with the appropriate redaction, Bates numbering and associated metadata.
